Searches Overview

Searches are the primary mechanism by which Users view Tasks within Projects. A Search is based on a single Project and can only be used to display tasks that belong to that Project. Searches are created in Search Groups which are used to group related Searches.

 

The use of Searches involves a two step process. First, the Search is created and search criteria can optionally be specified to restrict which Tasks will be displayed. The second step is to run the Search in order to view the Tasks.

 

For example, in a house building project, the following three searches could be created. All three Searches would be created in a Search Group named "House XYZ."

 

  1. A Search to display Tasks that have been completed. This is done by setting the search criterion of the "Completed (%)" Custom Field to 100.

  2. A Search to display the Tasks that have started but are not completed. This is done by setting the search criteria for the Minimum and Maximum of the "Completed (%)" Custom Field to 1 and 99 respectively. This will cause the Search to display all Tasks for which the "Completed (%)" Custom Field falls between 1 and 99 inclusively.

  3. A Search to display Tasks that have not yet started. This is done by setting the search criteria for the "Completed (%)" Custom Field to 0 and enabling the "No Value" option. This will cause the Search to display all Tasks that either have 0 as a value or no value specified, for the "Completed (%)" Custom Field.

Search Views

When Searches are run, the returned Tasks are displayed using three different views: the Grid View; the Calendar View; and the Gantt View

Grid View

The Grid View is the primary and default view used when a Search is initially ran. It displays all the Tasks that meet the Search’s criteria in a multipage grid. If the number of Tasks exceeds the User’s specified Task Grid Size preference, the Tasks are displayed on different grid pages that are accessible by links at the bottom of the grid. The grid can be sorted by clicking on the header of columns.

 

To display Tasks in the Grid View, follow these steps:

  1. Run the Search for which you want to see Tasks displayed in the Grid View. The Grid View will be displayed by default.

  2. If you have switched to a different view, click on the "View the search in a Grid View" button to revert back to the Grid View.

  3. To Edit a Task, click on the Task row in the grid.

Calendar View

The Calendar View is used to display the Tasks that meet the Search’s criteria in a monthly calendar. When switching to the Calendar View, a Date Field must be selected. The Calendar View will display only the Tasks for which the value of the selected Date Field falls in the currently displayed month.

 

To display Tasks in the Calendar View, follow these steps:

  1. Run the Search for which you want to see Tasks displayed in the Calendar View.

  2. Click on the "View the search in a Calendar View" button located on the right hand side of the window above the Grid View that was displayed when the Search was run.

  3. Select the Date Field on which the Calendar View should be based.

  4. To Edit a Task, click on the Task’s name in the calendar.

  5. To display a different month or year, use the blue arrows located in the header of the calendar.

Gantt View

The Gantt View is used to display the Tasks that meet the Search’s criteria in a gantt chart. The Gantt View will display the Tasks as well as links between Predecessor Tasks and Successor Tasks. The Gantt View also displays the progress accomplished on the Tasks. The progress on a Task is indicated by the portion of the Task’s bar in the gantt chart that appears in green. To Edit a Task, simply click on the Task in the gantt chart.

 

To display Tasks in the Gantt View, follow these steps:

  1. Run the Search for which you want to see Tasks displayed in the Gantt View.

  2. Click on the "View the search in a Gantt View" button located on the right hand side of the window above the Grid View that was displayed when the Search was run.

  3. To Edit a Task, click on the Task’s bar in the gantt chart.
